Managing Document Templates

Learn how to upload, activate, archive, and edit document templates — from draft to active template.

Uploading a New Template

To create a new template, follow these steps:

  1. Go to Documents → Templates.

  2. Click the Upload Template button.

  3. Drag a .docx file into the upload zone or click Select File.

  4. Wait for the file to upload and variables to be automatically detected.

Note: Only the .docx format is supported. Maximum file size is 10 MB.

Template Statuses & Lifecycle

Each template can have one of three statuses:

Status

Description

Draft

A newly uploaded template. Documents cannot be generated yet — you need to review the variables and settings, then activate.

Active

The template is ready to use. It appears in the document generation list.

Archived

A no-longer-used template. It can be restored to Draft (unarchived).

Activating a Template

  1. Open a template with Draft status.

  2. Verify that all variables are correctly configured.

  3. Click the Activate button.

  4. Confirm the action in the popup dialog.

An activated template immediately becomes available for document generation.

Archiving a Template

  1. Open a template with Active status.

  2. Click Archive.

  3. Confirm the action.

An archived template no longer appears in the generation list, but previously generated documents remain unchanged.

Unarchiving a Template

  1. Open the archived template.

  2. Click Unarchive.

  3. The template returns to Draft status.

Note: An unarchived template is returned to Draft status — you will need to activate it again before use.

Editing Metadata

You can edit template metadata in any status:

  • Name — the template name, visible in lists and selections.

  • Description — a short explanation of the template's purpose.

Uploading a New Version

You can upload an updated .docx file to an existing template:

  1. Open the template (status Draft or Active).

  2. Click Upload New Version.

  3. Select the updated file.

  4. The system will automatically re-scan variables and preserve the existing configuration.

Note: If the template was Active, it returns to Draft status after uploading a new version — review and activate again.

Built-in Document Editor

The system has a built-in editor for simple changes:

  • Text editing and formatting.

  • Inserting variables from a list.

  • Undo and redo functions (Undo/Redo).

  • Saving or discarding changes.

Deleting a Template

To delete a template:

  1. Open the template.

  2. Click Delete.

  3. Confirm the action.

Warning: Deletion is permanent. You cannot delete a template that has generated documents.
