Managing Generated Documents

Learn how to view, filter, download, and delete generated documents — statuses, PDF viewer, and activity history.

Viewing the Documents List

Go to Documents → Documents to see all generated documents. The list displays the following information:

  • Name — the document name.

  • Template — which template it was generated from.

  • Status — the current document status (colored badge).

  • Signers — the number of signers (if the document was sent for signing).

  • Created — relative time since creation (e.g., "2 hours ago").

Search and Filtering

  • Search — search by document name or number.

  • Filter by template — show only documents generated from a specific template.

  • Filter by status — show only documents with a specific status.

Document Statuses

Description

Generated

Grey

The document has been created but not yet sent for signing.

Sent for Signing

Blue

The document has been sent for e-signing — waiting for signers' signatures.

Signed

Green

All signers have signed — the signed PDF can be downloaded.

Document Detail Page

Clicking on a document opens its detail page with the following sections:

  • Information — document name, number, template, status, creation date.

  • PDF Preview — interactive document preview.

  • Signers — list of signers with their statuses (shown only if the document was sent for signing).

  • Activity History — a chronological list of all events related to the document.

PDF Viewer Features

The built-in PDF viewer allows you to:

  • Page navigation — navigate between pages using buttons or by entering a page number.

  • Zoom controls — zoom from 50% to 200%.

  • Text selection — select and copy text from the document.

  • Annotations — view document annotations (if any).

Downloading Documents

  • Unsigned PDF — can be downloaded at any time, regardless of status.

  • Signed PDF — can only be downloaded once the signing session is completed (status Signed). The downloaded file contains cryptographic signatures.

Deleting Documents

You can delete documents one at a time or by selecting multiple at once (bulk deletion).

  1. Select the document(s) in the list.

  2. Click Delete.

  3. Confirm the action.

Warning: Deletion is permanent. If the document was sent for signing, the signing session will be automatically cancelled.

Activity History

Each document has an activity history (timeline) that records all significant events:

Event

Description

Document generated

The document was created from a template.

Sent for signing

A signing session was started with the specified signers.

Signed

A specific signer signed the document (name is shown).

Awaiting signature

A signer has not yet signed.

All signed

All parties have signed — the document is considered fully signed.

Signing cancelled

The signing session was cancelled (manually or due to deletion).
